GL Property Maintenance Customer Privacy Policy

GL Property Maintenance Ltd do all we can to respect your privacy. Most of the information we have will have been provided by you when you initially contacted us.

Contact information provided such as name, address & phone number is used by the office to pass on to the relevant staff or subcontractor in order for them to visit you to provide an estimate or carry out works as requested by you.
Any further information provided by you is stored on file with relevant paperwork following our visit to view required works & or carry out required works.

Any email addresses you provide us with are only used by the office to correspond with you as & when required in relation to your initial request & will not be passed on to anyone else unless you have given permission for us to do so.

We do not pass on your information to any third parties unless relevant to the works you have requested, such as for the purpose of fulfilling the requirements of the competent persons scheme / Fensa registration or for notifying Local Authority Building Control where relevant.

Information such as name, address, phone number & email address is kept with all relevant paperwork in our locked office for 1 year then moved to our secure storage unit for a further 5 years before being destroyed by shredding.

All email correspondence is kept for up to 2 years then automatically deleted.

Tenants & Landlords information received from Letting Agents

GL Property Maintenance Ltd do all we can to respect your tenants/landlords’ privacy. The information we have will have been provided by you, the letting agent, in the form of a works order via email & mainly consists of name, address, contact number & email address as well as a brief description of the works that are required.

Tenants contact information provided such as name, address (& phone number if required) is used by the office to pass on to the relevant staff or subcontractor in order for them to visit the relevant tenant / property to provide an estimate or carry out works as requested by you, the letting agent /landlord.

Landlords contact information provided by you, the letting agents, will only be used to make contact to discuss works required at the relevant rental property as previously agreed.

Any further information provided by letting agents /tenants / landlords is stored on file with relevant paperwork following our visit to view required works & or carry out required works.
